Job Summary:
The Executive Secretary is responsible for supporting the Managing Board in an effective and efficient manner by organizing and maintaining their schedule and assisting them and the company by performing a variety of administrative tasks.
Duties and Responsibilities:
  • Manage Managing Board agenda’s and assist in planning appointments, board meetings, conferences etc.;
  • Provide administrative and clerical support to the Managing Board;
  • Receive and screen phone calls and redirect them when appropriate;
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.);
  • Coordinate all the hotel and travel arrangements for the whole Bank; prepare itineraries, make the bookings and maintain all the travel vouchers and records;
  • Maintain the electronic and hard copy filing system;
  • Meet and greet visitors;
  • Back-up for the reception desk;
  • Prepare confidential and sensitive documents, papers, reports and presentations;
  • Apply and request travel subscriptions for eligible bank employees at NS, GVB or Arriva;
  • Coordinate office management activities;
  • Prepare agenda for meetings;
  • Check invoices registered by the secretariat and prepare declaration forms for the accounts payable department;
  • Relay directives, instructions and assignment to executives.
  • Prepare the meeting rooms in the afternoon;
  • Liaising with clients, suppliers and other staff.
  • Excellent communication skills in Dutch and English (verbally and written);
  • Outstanding time-management and multitasking abilities;
  • Attention to detail;
  • Discretion and integrity.
Education and Experience:
  • Proven experience as an executive secretary or a similar administrative role;
  • Proficient in MS Office;
  • A secretarial or business administration degree.
